Information for Organization Grant Management Contracts

I’m a grant administrator and/or a financial reporting contact at an institution that was recently awarded a grant. Do I need to create an account? If so, for what purpose?

If you are a grant administrator and/or a financial reporting contact, please create an account here: https://rsf.fluxx.io/apply/adminregistration. When you register, please be sure to include the RSF reference number for the grant (provided in the grant agreement) so that we can link your account to the grant. Via this portal, you’ll be able to assist the Principal Investigator (PI) with reports and amendments, as well as track grant payments. Being linked to the award will also allow you to receive important updates via automated system emails.

I have an RSF Fluxx account as a grant administrator and/or a financial reporting contact, but I can’t access the necessary reports/grants. What should I do?

When you create an account, Fluxx doesn’t automatically connect your portal to a given grant. Instead, when the grant reference number is provided, an RSF staff member manually links your account to a grant. If you need access to an award in Fluxx, please email us at grantsmgt@rsage.org with the reference number and we will link the grant to your portal

Where can I find the template for the financial report?

Navigate to the appropriate report in the grantee portal. The financial reporting template can be found in the section “Reporting Template for Download.”

What format should I submit the report in?

Please submit the financial report in excel.

Does the financial report need to be signed?

No. But please provide the name and email address of the designated reporting contact in the reporting template.

Does an interim financial report have to cover 12 months of actuals?

No. The first interim report is due one year after the start of the grant. We understand that actuals covering the full twelve months will not yet be available at that point. We are happy to accept reports covering the first 11 months of the grant. Please indicate the time period covered by the budget report in the reporting template.

Who should submit the financial report in Fluxx?

Financial reports should be completed by a designated organization representative, but can be uploaded and submitted by the PI or any other individual with access to the grant. Please make sure the report contains the name and email of the designated financial reporting contact.
